Sending email broadcasts
How to create and send email communications to your members.
Email Broadcasts
Go to Broadcasts and click "New Broadcast". Compose your email with:
- Subject line
- HTML body — Use the editor to compose your message
- Audience filtering — Send to all members, specific levels, or tagged groups
- Scheduling — Send immediately or schedule for later
Tracking
After sending, view delivery metrics: sent count, opens, bounces, and more.

Sending a broadcast
Broadcasts are one-off emails you send to a group of members. Create one under Email → Broadcasts.
Audiences
An audience defines who receives the broadcast. Build one from a filter (for example, active members at the Family level), a saved segment, a Mynd AI result, or an event's attendee list. The audience preview shows the exact recipient count before you send.
Merge fields
Personalize the message with merge fields that pull from each recipient's record. Insert fields like {{first_name}}, {{membership_level}}, or {{renewal_date}}, and even custom fields. Each recipient sees their own values, with a fallback for any missing data.
Scheduling
Send immediately or schedule the broadcast for a future date and time in your organization's time zone. Scheduled broadcasts can be edited or cancelled until they send.
The Eight Email Automation Triggers
Set up automated emails that fire on key membership events like joining, renewing, and lapsing.
Automated emails
Automations send the right message at the right moment without anyone hitting send. Configure them under Email → Automations. Mybers offers eight triggers:
- Welcome — when a new member joins.
- Payment receipt — when a dues or donation payment succeeds.
- Renewal reminder — a set number of days before a membership term ends.
- Renewal confirmation — when a member renews.
- Membership lapsed — when a term ends without renewal.
- Win-back — a follow-up some days after lapsing.
- Payment failed — when a recurring charge is declined.
- Event registration confirmation — when someone registers for an event.
Customizing each one
Every trigger has an editable template that supports merge fields, and each can be turned on or off independently. Timing-based triggers (renewal reminder, win-back) let you set the number of days. Test any automation by sending a preview to yourself before enabling it.
Deliverability and Handling Bounces
Keep your emails landing in inboxes and understand how Mybers handles bounces.
Email deliverability
Good deliverability starts with authenticating your sending domain. Under Email → Settings, add the SPF and DKIM records Mybers provides to your DNS so messages are verified as coming from you. Verified domains land in inboxes far more reliably than unverified ones.
Bounces
A bounce means an email couldn't be delivered. Mybers tracks two kinds:
- Hard bounce — a permanent failure, such as an address that doesn't exist. The recipient is automatically suppressed so you don't keep emailing a dead address.
- Soft bounce — a temporary problem, like a full mailbox. Mybers retries before giving up.
Staying healthy
Review the deliverability dashboard for bounce and complaint rates. Keep your list clean by removing chronic bouncers, and avoid emailing people who never engage — both protect your sender reputation.
Suppressed addresses are excluded from future sends automatically, even if they're part of a broadcast audience.
Scheduling emails from a saved view
Automatically email the members in a saved view — for example, N days before their renewal.
Schedule from a saved view
Beyond the eight event-based triggers, you can schedule an email to the members in a saved view relative to their renewal date — perfect for renewal nudges.
How
- On the Members page, filter and Save view (e.g. active members).
- Go to Communications → Automations → "Schedule from a saved view."
- Pick the view, set days before renewal (e.g. 7), and write the email.
- Activate it.
It runs daily and emails each matching member once per renewal (no duplicates). Pause or delete it anytime from the Automations list.
Merge fields like {{first_name}} and {{org_name}} personalize each email.
Texting members (two-way SMS)
Send and receive SMS with members on your own Twilio number, all in one inbox.
Two-way SMS
Mybers texts members from your own Twilio number (bring your own Twilio). Connect it under Settings → SMS.
The Messages inbox
Open Marketing → Messages for a shared inbox of conversations. Pick a contact to see the full thread, reply inline, or start a new text from any member’s profile with Text. Unread replies show a badge on the Messages item.
Inbound replies
Point your Twilio number’s Messaging webhook at the inbound URL shown in Settings → SMS so members’ replies arrive in the inbox automatically.
Calls in the same place
Completed Mynd voice calls appear in the same conversation timeline, so a member’s texts and calls live together.
Costs
SMS is metered as usage-based credits. Carriers filter spammy content — keep texts conversational and avoid bare links to stay deliverable.
