Elections and Votes
Run board elections, bylaw votes, motions and member polls with secret ballots, one vote per household, quorum and paper ballots.
What you can run
Votes live with their program: open Members → Programs, pick the program and use its Votes tab, or use Organization votes on the Programs page for a vote of the whole organization (a board election, a bylaw or dues vote, a motion, or a member poll). All votes lists every one, and Ctrl+K finds it. Members vote in their portal; nobody needs a separate voting app.
Set it up
- Choose New vote, give it a title, and say what members should know.
- Pick who can vote: member statuses (Active by default) and, if you like, only certain levels.
- Tick One vote per household for HOAs and family memberships: the first person in a household to vote uses its ballot.
- Keep Secret ballot on to record who voted but never how. Untick it for a recorded (roll-call) vote, where the export shows each member's choices.
- Choose when members see results: after voting closes, live after they vote, or staff only. Set a quorum (fewest ballots for the result to count) if your bylaws have one.
- Add questions. Pick one suits a single office; Pick up to N fills several seats; Yes / No / Abstain suits motions, and can pass with more yes than no or with two-thirds yes. Abstentions never count toward passing. Add a candidate statement after a | on each line.
- Set opening and closing times (or leave them blank), then choose Open voting now or Schedule voting. The ballot can't change after that.
Tell members
Open votes show in each eligible member's portal, with a reminder on their membership page until they vote. Use Draft an email to voters to open an email to everyone who can vote, with the ballot link, ready for you to review and send.
Paper and in-person ballots
At a meeting, use Record a paper or in-person ballot: enter the member's email or member number and their choices. It counts like an online ballot, so that member can't also vote online.
Results
Staff see a live count while voting is open, with turnout and whether quorum is met. When voting closes (on time, or when you choose Close voting now) the results are final. Ties are shown as ties; Mybers never picks a winner for you. Export CSV gives the tally and the list of who voted.
Good to know
- Each member (or household) gets one ballot, and a cast ballot can't be changed.
- Anyone acting as a member for support can't cast a ballot for them.
- Who can vote is checked when each ballot is cast, so a member who lapses mid-vote can't vote until they renew.
- Running and viewing votes needs Members access; drafting the email also needs Communications access.
